Overview: The Body Shop Parts Counter Rep at Toyota of Boerne is essential in ensuring the right parts are available for vehicle repairs, contributing to efficient and effective service. This role involves ordering, receiving, and distributing parts within the body shop.
Key Responsibilities:
Parts Ordering: Order parts from various suppliers, including OEM and aftermarket parts.
Inventory Management: Track inventory levels, ensure commonly used items are in stock, and manage storage space efficiently.
Parts Distribution: Organize and distribute parts to technicians and mechanics as needed for repairs.
Customer Service: Assist customers with inquiries about parts, pricing, availability, and special requests.
Collaboration with Suppliers: Build and maintain relationships with parts suppliers to ensure timely deliveries and availability of quality parts.
Documentation: Keep accurate records of parts ordered, received, and used for inventory auditing and accounting purposes.
Daily Operations:
Attend daily release meetings to stay updated on body shop production.
Monitor email constantly to place orders in a timely manner.
Document all orders thoroughly in management systems and email updates to file handlers.
Monitor backorders daily to ensure deliveries are shipped and received accordingly.
Inspect parts for damage and accuracy.
Input and direct all invoices to accounting daily.
Obtain copies of all invoices with signatures from delivery drivers, technicians, or receiving employees and scan them into the management system.
Requirements:
Knowledge of Parts: Solid understanding of vehicle makes and models, as well as the parts required for specific repairs.
Quality Control: Ensure all parts received meet quality standards and are suitable for repairs.
Technology Use: Familiarity with inventory management software to track parts orders, availability, and usage.
Efficiency: Ability to order and receive parts quickly to minimize downtime for vehicle repairs.
Physical Demands: Ability to lift vehicle components/parts weighing up to 150 pounds with assistance, and meet the physical demands of walking, crouching, bending, and standing for extended periods.
Customer Service Skills: Be outgoing, friendly, and helpful with strong sales skills.
Work Attitude: Maintain a good work attitude and cooperate with fellow employees.
Availability: Willingness to work extended hours, weekends, and holidays if required.
Training: Participate in all available and assigned training programs.
Organization: Keep the body shop parts department organized and clean.
Driver’s License: Maintain a valid state driver’s license with a good driving record.
Forklift Operation: Operate a forklift after required training and certification.
Additional Responsibilities:
Assist dealership parts department personnel with inventory counts.
Be familiar with body repair procedures to identify additional parts.
Continuously strive to improve efficiency in the facility and the overall operation.
